GENERAL STATEMENT OF DUTIES: The Staff Associate is responsible for assisting with the scheduling of all external and internal requests for space usage at the Reggie Lewis Track and Athletic Center (RLTAC) and Roxbury Community College. The Staff Associate serves as a direct liaison between the Center, the College, and all prospective renters of policy, rules, regulations and rental rates, etc. Also, responsible for assisting with the coordinating of special projects and events such as the annual golf outing and other sponsorship and marketing initiatives of the RLTAC.

SUPERVISION RECEIVED: Reports to the Director of RLTAC & Intercollegiate Athletics

Essential Functions:
· Develops and maintains master schedule of all room usage and availability: Maintains up-to-date list of available spaces and room usage for all campus facilities. Generates weekly calendar of booked space to be distributed to all applicable departments.
· Assists with the drafting of press releases, promotion & operation of events at the Reggie Lewis Center
· Initiates and maintains documentation for weekly Scheduling Committee meetings.
· Prepares calendar of confirmed events for posting on website and maintain any other RLTAC related updates.
· Assists with the marketing, promotion coordination and organization of events such as the golf outing and other special fundraising as directed.
· Coordinates all sponsorship and marketing initiatives for the RLTAC programs and upgrades.
· Responds to all inquiries regarding the rental on use of the RLTAC/RCC facilities. Arrange tours of facilities as needed.
· Coordinates set-ups with appropriate personnel, including ancillary equipment as needed, prepare electronic set-up and distribute to operational staff as required
· Composes correspondences such as requests for information, confirmation of meeting, press releases, etc.
· Processes invoices, post payments in a timely manner and as instructed.
· Operates standard office equipment. Works on various computer systems including IBM compatibles. Must be familiar with specialized scheduling software, including Event Software.
· Generates, maintains and records all necessary invoicing and revenue projections for facility use.
· Attends and monitors selected events to ensure quality control and custom satisfaction.
· Explains provisions of rental policy including rates, options, etc., to renters; sends out request for space rental package to requestors and ensure proper documentation and payments. Confirms all bookings at least two weeks prior to schedule date.
· Other related duties as assigned by director or designee

QUALIFICATIONS:
All candidates must have legal authorization to work in the United States.
1. Bachelor’s degree with a concentration in Communications or related experience in events management.
2. Experience of working with diversified constituents.
3. Experience of working in an athletic facility
4. Knowledge of working with Microsoft Office, WORD, Excel, Access, Power Point, Internet research, and e-mail communication.
5. Excellent communication skills both oral and written.
6. Ability to clearly articulate all rules, policies, and governing procedures concerning use of RLTAC/RCC facilities.
7. Ability to establish and maintain harmonious working relationships with others and to deal tactfully with constituencies.
8. Knowledge of standard office practices and procedures including record keeping, invoicing, correspondence control and business letter preparation, etc.
9. Ability to exercise sound judgment; ability to represent the College to the public in a professional manner at all times; ability to exercise discretion in handling confidential information.
10. Ability to work flexible hours, including evenings and weekends as needed

Annualized Salary Range: $23,000 to $25,625.20, based on experience.
