Manager of Athletic Facilities and Events

Position Summary:

The first key responsibility for the Manager of Athletic Facilities and Events is to plan and manage operations and events at Matthews Arena, Parson’s Field, Cabot Gym, Henderson Boathouse and Dedham Track to accomplish the goals and objectives set by the University.

The second key responsibility of the Manager of Athletic Facilities and Events is to act as a facilities representative in collaboration with the University community for all major events and activities. Provide guidance and leadership with internal and external constituents in organization and planning of major events, and collaborate with University event planners to set event priorities, and to balance and understand that of additional competing priorities. Have developed knowledge in production for major University events such as; lighting, video, sound, and rigging equipment. Analyze requests for proposals from production companies. Understand the workflow of production crews.

As Manager of Athletic Facilities and Events, additional responsibilities are to oversee the preparation of athletic facilities for events and games. Assist in coordinating facilities maintenance projects with all ongoing athletic events scheduled. Manage supervision of the maintenance of the athletic facilities. Schedule work and supervise employees in day-to-day operations. Manage and train staff on all levels of performance standards. Responsible for planning, organizing and directing the care, maintenance and security of all athletic facilities in accordance with Northeastern‘s purchasing, budgetary and other administrative policies. Work with internal and external clients to resolve problems associated with the care, maintenance and security of all athletic facilities. Direct and schedule in house and contracted personnel in servicing the University’s seasonal and operational needs. Reconcile usage of all athletic facilities, tracking by department and providing detailed documentation on a weekly basis. Maintain an open line of communication with departments and scheduling staff of changes that affect other department’s workflow or operation. Supervise emergency repair jobs; inspect field work performed; maintain records of work order requests and completion. Assist in maintaining all aspects of safety. Investigate new trends, products and technology that will result in more efficient operations. Develop training programs and train staff on the use of equipment and policies. Manage the maintenance and repair work, preparing and administering the department budget. Assist in monitoring budget accounts and expenditures. Establish and maintain estimating, accounting, scheduling and budgeting procedures.

Recommend solutions and resolve scheduling conflicts when they arise. Develop long range planning for renovations and target building improvements for pricing and scheduling. Direct and support meetings with promoters of concerts and advance teams regarding building set-up and other requirements including lighting, sound, and evacuation plans.

Qualifications:

Bachelors Degree preferred with a minimum of ten years of experience working in an athletic facility with supervisory experience. Must have knowledge, skill, and experience working within various athletic facilities including hockey rinks, boat houses, playing fields, and gymnasiums. Must have significant experience in event management. Experience in ice maintenance, handling and working with ammonia and knowledge of ice arena machinery is a requirement. Experience working at a NCAA sanctioned facility. Strong background and experience directing NCAA game day events and NCAA tournaments. Knowledge of writing requisitions and controlling budgets. Understanding and experience with Banner accounting system is preferred. Excellent communication and organization skills required. Must constantly seek to upgrade technical and managerial expertise. Must have ability to identify and implement creative operational solutions

Experience with microprocessor software for compressor control systems. Ability to coordinate and supervise change over from ice rink to basketball court, commencement, concerts, or any other event. Ability to repair and maintain assets of the facility as needed as well as on a preventative basis. Excellent communication and organization skills required. Experience in problem solving and installation of dasher board shielding systems, steel ice dams, and seamless glass systems.

Responsibilities will include working a flexible schedule, including some evening and many weekend events. On-call twenty-four hours a day for emergency problems relating to buildings, equipment and security. A background in developing event management contracts/licenses for: sound, lighting, entertainment, special permits, and insurance.
